Turn approval on and new arrivals fill in your form and wait, seeing nothing behind the login until you decide. Leave it off and they register and get straight in. It’s a setting you can change whenever you like.
Build your own application form
Ask exactly what you need to know by building your own application form. Drag together the questions that matter: text, dates, dropdowns, file uploads, agreements. Mark the ones you need and nobody can submit without them.
Every decision recorded
Approve or decline, with a reason on record for every decision made. Review submissions in one queue and decide. Declined applicants get your reason automatically, and you choose whether they can fix their answers and try again.
Access opens the moment you approve it
Approving someone puts them on the tier you chose, which opens the content that tier allows. Declining switches their access off. You don’t have to set up a thing.

Create membership tiers you define yourself with different levels and different access. Each one controls what its contacts can reach, and you decide whether people can move between them themselves.
Assign, switch and withdraw
Put an account on a tier, choose the one new arrivals start on, and keep some tiers off the public list so only your team can hand them out. Withdraw a tier from selection and everyone already on it carries on as before.

Open a board where people start topics and reply. You choose which tiers can read it and which can post, and you moderate what appears.

People raise a ticket inside the portal and your team works through them in one queue. Every message, status change and reply stays on the ticket.
People follow their own requests
Let people follow their own requests on their own tickets. An account sees the tickets it raised, where each one stands and what was said on it. They chase the ticket instead of chasing you.
Catch enquiries from people before they’ve joined
Put an enquiry form on the public side of your portal and answer what comes in from the same place you run everything else. Each enquiry keeps its own thread.

Publish your terms and privacy policy, and every acceptance is stored with the date and where it came from. Update a policy and the people it affects are asked again before they carry on.
Submissions never change retroactively
Answers frozen the moment they’re given. Each submission stores its questions and answers exactly as they stood. Edit the form later and past records stay put.
See who did what, and when, all recorded
Every meaningful action in your portal is logged with the person, the time, and what changed in a full activity log. Filter by type, or search for who did it.
Update a form and everyone submits the new version
When something material changes, ask everyone to complete the current version. Older responses stay on file against the version they were made under.
Watch a record change over time
A readable timeline of what changed on any contact or account, who changed it and when, with the values before and after.
Contacts can see everything they’ve sent you
Every form an account has submitted is listed for them, with the answers exactly as they were given and the date they went. Nobody has to ask you for a copy.

Contacts record the CPD they complete, with their evidence attached, and the portal counts it towards the hours you require in each period. You can see who reached the target and who fell short, without chasing a spreadsheet.

Establish goals that renew themselves. Each goal holds for its period and then comes round on its own: the annual declaration, the quarterly return, the certificate that lapses on its own date. Nobody has to remember it, and nothing quietly falls out of date.

Issue codes against particular plans, product categories or event categories, with your own limits on who can redeem them and for how long.
Contacts move themselves up or down a tier
An account changes its own plan from inside the portal, and access and billing follow the change. You set which tiers are open to move to and which are not.
Let accounts bring people in and earn a share
Give an account its own referral link and set what it earns when somebody joins or buys through it. Referrals, earnings and what you owe are tracked against the account.
They ask, you price it
An account asks for a service or an item through a form you design, with the detail you need to put a figure on it. The request arrives in your queue with everything attached.
Send, accept, requote and record
Build the quote from the request and send it, and the account accepts or declines it in the portal. A declined quote goes back for a revised one, and every version is kept.
Track what you agreed through to delivery
An accepted quote becomes a deliverable with the stages you set, and the account watches it move without asking where things are. Each step is stamped with who moved it and when.
Invoices go out on their own
Subscriptions, tickets, orders and accepted quotes raise their own invoice with your details on it. Every account finds its invoices in one list, whenever it wants them.
Bill for anything
Write an invoice for something the portal didn’t sell: a one-off fee, a joining charge, work agreed away from the portal. It is paid, chased and recorded like any other.
The right tax on every line
Get tax worked out for you. Set your rates and how they apply, and tax is calculated per line and shown on the invoice. What was charged, and at which rate, stays on the record.
Take payment the way your accounts prefer
Offer the methods that suit the people you deal with and let them keep one on file. Renewals and repeat orders use it without anybody re-entering anything.
